How Far in Advance to Book a Wedding Venue in Chicago?

Key Takeaways
For a Saturday between May and October, aim to book your Chicago wedding venue 12 or more months out. September and October go first.
April and November dates usually need 6 to 12 months.
Fridays, Sundays, weekdays and winter dates can often be booked a few months ahead.
Lock in the venue before anything else, since your caterer, photographer and hotel block all depend on the date.
Some deadlines land late in the process. Your Cook County marriage license, for example, is only valid for 60 days.
Timing changes your budget too. At Loft Lucia, a peak-season Saturday is $9,000, while an April or November Saturday is $5,000.
The Short Answer (and Why It Depends)
If you want a Saturday in September or October, start touring venues as soon as you’re engaged.
That’s the honest answer we give couples who contact us at Loft Lucia, our 4,000-square-foot event space in Chicago’s West Loop. But the real lead time depends on three things: the month, the day of the week, and how flexible you are on both.
National numbers point the same way. According to The Knot’s Real Weddings Study, couples are engaged for about 14 months on average, and 76% marry between May and October. Chicago squeezes that window even tighter, because very few people want an outdoor ceremony in February.
So what does that mean for your calendar?
How Far Ahead to Book, by Season
We watch demand for our space all year, and the pattern repeats pretty reliably. Our post on Chicago event space availability by season goes deeper, but here’s the quick version.
Peak Season: May Through October
Saturdays fill first. September and October are our most requested months, which makes sense given how pleasant Chicago is in early fall. For a peak Saturday, plan on 12 months or more. Fridays and Sundays tend to stay open longer, though popular fall weekends still go early.
Shoulder Months: April and November
These are the value months. A Saturday in April or November is $5,000 at our venue versus $9,000 in peak season, and you still get the same space, the same capacity and the same 10-hour weekend rental window (a few peak-season amenities aren’t included). For most couples, 6 to 12 months of lead time works.
Winter: December Through March
January through March is our quietest stretch, and we offer custom rates plus a winter wedding package. Early December is different. Holiday parties book those weekends, so if you have your heart set on a specific December Saturday, reach out by late summer. Cold-weather weddings at our place lean cozy, with the brick-and-plaster interior doing most of the work.

Your Chicago Wedding Timeline, From Booking to Event Day
Most timelines online are generic checklists. This one is built around how Chicago weddings actually work, including the policies at our own Chicago wedding venue, so you can see where the real deadlines fall. Use it as a starting point, then adjust for your own date.
12 to 18 Months Out: Budget, Guest Count, Venue
Settle on a rough guest count before you tour anything. Capacity rules out venues faster than price does. Our space holds up to 120 guests for a seated dinner or 160 for a standing cocktail reception, and at a full 120 seated, the dance floor gets smaller. You’ll want to know that before you fall for a floor plan.
Then tour in person. Photos can’t show you how the light comes through the windows at 6 p.m., or how guests will move from the rooftop to dinner. Bring a list of questions to ask before renting an event space so you’re comparing venues on more than the base rate.
10 to 12 Months Out: Caterer, Photographer, Music
Your caterer comes next, and at a venue like ours it matters more than usual. You’ll bring in your own full-service caterer, and our team has to approve it. Drop-off catering isn’t allowed for weddings. Our preferred list runs from Kuma’s Corner and Paulie Gee’s to Shaw’s Crab House and Catering by Michaels, with per-person pricing tiers from roughly $60 to $250.
Wedding photographers and DJs often book a year out for fall Saturdays. Sound Events Chicago is our preferred music vendor, but other DJs and live bands are welcome.
8 to 10 Months Out: Hotel Room Block
Here’s the step most guides skip. Chicago hosts major citywide events right in the middle of wedding season, and the Chicago Marathon lands on a Sunday in October every year. If your date overlaps a weekend like that, rooms near downtown can get harder to find and more expensive. Set up your block early. Hyatt House is about a two-minute walk from us, and The Hoxton is walkable too.
6 to 8 Months Out: Florals, Décor and the Bar Plan
Décor has a few ground rules with us: no nails or screws, everything comes down at the end of the night, and anything that needs a ladder needs an insured professional. DIY florals are allowed, as long as friends or family handle the install and teardown. If you’re planning a ceremony outside, our rooftop wedding planning guide covers wind, sun and backup plans.
And the bar? You’ll buy alcohol through your caterer or through Prestige Wine & Spirits in Westmont, which picks up unopened bottles after the event and reimburses your account. Your caterer or a staffing company serves everything. No shots, bottle service or self-serve setups.
2 to 3 Months Out: Build the Day Around the Clock
Weekend weddings get a 10-hour rental window, and that includes setup and breakdown. On Fridays and Saturdays, the window runs from 2 p.m. to midnight, and the event itself has to wrap one hour before it closes.
So your last dance is at 11 p.m., not midnight.
Work your ceremony time backward from there. Need earlier access for vendors? It’s $250 an hour. Also keep in mind that weddings over 60 guests require a security staff member, so ask about that cost when you book.
30 to 60 Days Out: Marriage License and Insurance
In Cook County, a marriage license costs $60, takes effect one day after it’s issued and stays valid for 60 days. Both partners have to appear together at a Clerk’s Vital Records location, and the license only covers ceremonies in Chicago and suburban Cook County. Check the Cook County Clerk’s marriage license page for current requirements before you go.
Event insurance is due around the same time, and most couples buy Day of Event Insurance through the link in their contract for about $190. If you’d rather use your own policy, we need it 30 days before the event.
The Final Week: Walkthrough and Logistics
We do a final walkthrough with you to review vendors, layout and timeline. Our space is often booked back-to-back, so plan on same-day drop-off and pickup for décor and rentals. Don’t ship anything to the venue, either. We can’t receive packages, so have them sent to the nearest FedEx for pickup.
Event Day
A Loft Lucia representative is on-site for your entire event, handling the facility. That isn’t the same as a day-of coordinator, though. If you want someone running the schedule and cueing vendors, book coordination as a separate service, which we can help arrange.
What If You Have Less Than Six Months?
It’s doable. You’ll just need some flexibility on the date. Fridays, Sundays and weekdays have more openings even in peak season, and we offer custom rates for weekday events. A Sunday between May and October is $4,800 at our venue, and an April or November Sunday is $3,800. Winter, generally speaking, has the most open dates of all.
Smaller guest lists help too. Fewer guests means less time chasing RSVPs and more caterers who can fit you in on short notice.
Rates can change, so always confirm current pricing with our team before you build a budget around it.

Frequently Asked Questions
How far in advance should you book a wedding venue in Chicago?
For a Saturday from May through October, book 12 or more months ahead, especially for September and October. April and November dates usually need 6 to 12 months. Winter dates, weekdays, Fridays and Sundays can often be booked a few months out.
What are the most popular wedding months in Chicago?
September and October are the most requested months at our venue. Nationally, The Knot’s Real Weddings Study found that 76% of couples marry between May and October, with fall the most popular season.
Can you plan a Chicago wedding in six months?
Yes, in most cases, if you’re flexible. Fridays, Sundays, weekdays and winter dates have far more availability than peak Saturdays, and they usually cost less. A smaller guest list also widens your vendor options.
When should we get our marriage license in Cook County?
Within 60 days of your wedding, and at least one day before it. A Cook County license takes effect one day after it’s issued, is valid for 60 days and only covers ceremonies in Chicago and suburban Cook County.
How many guests can Loft Lucia hold?
Up to 120 guests for a seated dinner or up to 160 for a standing cocktail reception, though a full 120-guest seated layout leaves a smaller dance floor.
Is it cheaper to get married on a Friday or Sunday in Chicago?
Usually, yes. At Loft Lucia, a peak-season Friday is $7,000 and a Sunday is $4,800, compared with $9,000 for a Saturday. Some amenities aren’t included on Sundays.
What should we book right after the venue?
Your caterer, photographer and music, ideally 10 to 12 months out for a fall wedding. Set up a hotel room block soon after, especially if your date overlaps a major Chicago event weekend.
